Six moments from one interview.

Andra Tidwell is Director of Imaging and Mobile Services, across the centers and the mobile coaches.

On the day-before routine
“Having someone getting charts ready the day before, you’d have to make sure everything’s ready, print the paperwork, do all of that. Where now we use forms and so the patients can do the forms ahead of time or even when they come and check in.”
On the scanning that followed
“But then after the forms were done, then somebody would have to scan them in. Now they’re already in the system.”
On waiting for prior records
“Patients, when we were needing to request records, you would have to wait for somebody from the front desk to take them to medical records, or medical records come to get the chart. And then on our mobile coaches, you’d have to wait till the coach came in and then scan the documents in. So maybe a day or two before those prior records could be requested.”
On requesting them now
“Now it can be done immediately through the system and you can track it. And it’s great that it’s in the patient’s chart.”
On the systems being tied together
“We didn’t have a two-tiered system before, so our systems weren’t really tied together. The nice thing is now they’re all tied together and our dictation is done quicker, our billing can be done quicker, patient results can be faster because they’ll get it in the patient portal or also through SMS messaging.”
On what she is waiting for next
“The pending faxes, the fax sorting and then having pending appointments, I think that will be a game changer for us. And then also using Abby for outgoing and incoming calls is going to be huge. We struggle with staff for scheduling; we can’t seem to get enough staff.”

01 · Ready before the patient arrives

The preparation stopped being somebody’s evening

Caring for women across imaging centers and mobile coaches means The Rose has to be ready before every patient arrives. That readiness used to be manual work: someone prepared charts the day before, printed the paperwork, and double-checked that everything was in place. Once patients completed their forms, staff still had to scan each one back into the system.

Patients now complete their forms ahead of time or at check-in, and the information lands directly in the system. There is no paperwork to print the day before and nothing to scan afterward.

02 · The records that had to travel

A request that took a day or two now takes a moment

Requesting prior records was slower still. Charts had to travel between the front desk and medical records, and on the mobile coaches nothing could move until the coach returned and documents were scanned in, often a day or two before prior records could even be requested.

Prior records can now be requested immediately through the system and tracked along the way, and everything stays in the patient’s chart, including for patients seen on the mobile coaches.

03 · Every downstream step was waiting

Dictation, billing and results all moved with it

Because the systems were not tied together, every downstream step waited too, from dictation to billing to getting results into patients’ hands.

With the systems tied together, dictation moves faster, billing can be completed sooner, and patients receive results more quickly through the patient portal or SMS messaging. For Tidwell, speed is the part patients feel most.

04 · What the team is waiting on next

Fax sorting, pending appointments, and Abby on the phones

The team is also preparing for the next wave. Pending faxes and fax sorting, pending appointments, and using Abby for incoming and outgoing calls are all expected to be game changers, particularly given how hard it has been to keep scheduling and phone coverage fully staffed.

They expect to feel it most in working through the backlog of orders in a timely way, and getting patients scheduled faster as a result.
