Client story

Every RIS is built for managed care. Expert MRI needed personal injury.

A California imaging network running two referral paths at once, attorneys and insurers, was holding it together on spreadsheets. No product on the market did personal injury out of the box, so they picked the vendor willing to build it with them.

Three people from one network, on the workflow nobody sells.

Saba Ejaz chose the platform and says why nothing off the shelf fit. Andy Garcia keeps attorney and insurance cases from crossing in the same chart. Sandra Garcia runs the back office that feels the difference.

01 · The gap

A workflow nobody was selling

Personal injury work does not behave like managed care. The referring source is an attorney as often as a physician, the billing attaches to a case rather than a plan, and everyone in the chain wants a status update. Expert MRI looked for a system built for that and could not find one, so the work lived in spreadsheets with no defined workflow behind it.

  • Charts, faxes and paperwork assembled by hand
  • Supervisors spending their day assigning work to teams
  • Attorneys and doctors emailing in for bills, reports and case status
02 · The build

The vendor that would build it with them

They chose the platform that agreed to develop the personal-injury workflow alongside them rather than sell them a managed-care one. It arrived in stages: queues first, then the attorney portal, then automated case statusing. Inbound paperwork moved to Fax AI, so the chart assembles itself instead of being built by hand.

  • Attorney portal: reports and bills self-served, not emailed out
  • Case statusing worked by urgency from a queue, not assigned by a manager
  • Inbound fax and paperwork captured automatically into the chart
  • Patients complete paperwork and read their records electronically

03 · What it freed

The email that stopped arriving

The clearest change is what nobody has to do any more. Attorneys check the portal instead of emailing for a bill or a report, so fewer agents sit on billing calls. Nobody extracts the monthly order count by hand for an attorney who wants one. And one chart now carries an attorney case and an insurance case side by side, with the right billing on each, without either party seeing what they should not.

  • Fewer agents needed on billing calls
  • Update requests from attorneys and referrers largely self-served
  • The manual monthly order report retired
  • Two case types in one chart, HIPAA boundaries intact
