Q: Is this a software or Web-based system?
A: The IDS VLibrary is a Web-enabled system.
The actual software is installed on a server,
rather than installing something on every
computer in your office. To access the system,
you would use your Web browser.
Q: Does the system require that I access it through the Internet?
A: No. While the Internet makes it easier to
access the IDS VLibrary from anywhere in the world,
you also can run it on your office's local network
or intranet.
Q: Are my files stored in a proprietary format?
A: Your files are stored and retrieved in
their native format. The IDS VLibrary does
not alter the files in any way.
Q: What type of documents does your system support?
Can it store more than just my scanned documents?
A: The IDS VLibrary is a format-neutral document
archival system that can accept any type of file,
whether it was a scanned document or a pre-existing
electronic file. The only requirement to opening
the file is that you have the associated application
installed on your computer. For instance, if you
were to store a Microsoft Word document, you would
need MS Word on your computer in order to open the file.
Q: What's your file capacity?
A: The system was designed to be scalable
to your needs. If you find that you are reaching
storage capacity, simply add more storage space
to your server. However, IDS asks that you
contact our support department prior to making
any change to your server schematics.
Q: How are files indexed?
A: Files can be indexed at the time of
scanning using ScanDox or manually in the
IDS VLibrary. Users must have the
appropriate folder/cabinet permissions
in order to index files from the IDS VLibrary.
Q: What kind of security does the IDS VLibrary have?
A: The IDS VLibrary mimics the Windows
Active Directory security levels.
Additionally, users are assigned folder
and cabinet permissions that can restrict
the functionality available to them.
The system also logs activity on a
system-wide and file-by-file basis.
The activity logs monitor all actions
throughout the system, such as user login/logout,
and folder & index creations and deletions.
Each file is accompanied by an audit log that
records for the life of the document on the
system, including the name, time and IP
address of the user opening the document.
Q: Do you host the servers or do I?
A: That's up to you. You can purchase the
system outright and run it your own servers,
or we could host the system as an ASP.
Both choices provide you with the same
document management solution, the only
technical difference being that we would be
responsible for the system maintenance and
up-time.
Q: How often do you provide updates or product upgrades?
A: IDS provides one major product upgrade per
year and updates every quarter. The quarterly
updates are composed of minor enhancements to
the system.
Q: Are implementations performed remotely or on-site?
A: Implementations are typically performed remotely,
which helps keep the costs down. You could also
choose to drop-ship any new server purchases to our
offices in Fort Lauderdale, FL for installation;
however, delivery charges will apply when shipping
the servers back to your location. There also may
be costs involved if you would prefer to have us
install on-site.
