Simplification Through Business Rules
ScanDox is a comprehensive imaging solution that blends document scanning with components such as OCR, bar coding and indexing to establish a single, automated process. The marriage of these components with custom-designed business rules forms the basis of ScanDox’s core architecture, which is designed to manage the entire scanning process:

IDS builds each business rule to best match your unique requirements and workflow, automating as much of the scanning process as possible while eliminating or drastically minimizing the most labor intensive and repetitive tasks.

Scanning business rules are broken down into three stages:

Stage I: Scanner Coordination
  • Predefined rules establish desired scanner settings for each document process, including color preferences, targeted resolution, compression percentage and file format
  • Single-sided and duplex documents are handled according to your needs (hardware capabilities provided)
  • Local and networked scanning hardware, as well as flatbed, desktop and copier/scanner systems, can be coordinated by ScanDox

Stage II: Post-Scanning Options
  • Intuitive interface enables users to group related pages, manipulate images (rotate and invert), and remove or insert pages
  • File indexing can be fully automated or manually keyed-in
  • ScanDox can interpret bar codes and extract critical information, even automatically separating bulk-scanned pages based on associated information
  • Perform zonal or full-page optical character recognition (OCR) and character adjudication to identify and index files
  • Key characteristics of standardized documents, such as number of pages per document or file indexing traits, can be built into business rules to further automate the scanning process


Stage III: File Routing and Distribution
  • Customized rules stipulate where and how files are to be distributed and delivered, including transfer to your existing local or networked folders, third-party applications, or routed to your fax or e-mail servers
  • Files can also be routed to multiple locations using multiple methodologies. For instance, scanned documents can be saved to a local drive, transferred via FTP to a network server and e-mailed to a predetermined distribution list, all within the same rule
An Effortless Client Interface
The ScanDox client interface embodies IDS' philosophy of using practical and instinctive applications to automate workflow. Graphical menus and underlying business rules are customized to each user's role or department's needs, and are presented as a series of simple point-and-click or touch-screen icons.
  • Business rules are displayed as a series clickable or touch-sensitive buttons, all visible in a single window
  • View underlying commands for each rule including scanning and post-scanning settings as well as all file routing and distribution configurations.
  • Each rule’s graphical presentation is tailored to fit your organization and process, from order and choice of icons to color scheme
  • Track the progress of all scans, summarized and grouped by their distribution status (pending, failed or completed). Counters will also track all pages processed for a set period of time to help measure productivity
Extensive Scanning Functionality
OCR technology is just one of many components of ScanDox’s scanning functionality, each designed to be highly adaptable for seamless integration into any organization’s existing infrastructure.
ScanDox is data agnostic, capturing structured, semi-structured and unstructured data and bar codes with equal ease.
  • Structured Data: Forms that maintain a common layout, such as insurance claims, federal tax forms and employment applications
  • Semi-Structured Data: Records that convey the same information, but vary in layout, such as business cards, utility bills and bank statements
  • Unstructured Data: Documents that hold no common format from one page to the next, such as e-mails, letters and reports
Interoperability
  • ScanDox is capable of coordinating with any scanner using TWAIN drivers, including desktop and copier/scanner models. Although certain manufacturers provide better drivers than others, IDS does not require the implementation of a specific brand of scanner
  • Each user’s unique login dictates the composition of rules to be displayed, allowing companies to establish or enhance their paper-to-electronic workflow
  • Our distributed approach facilitates de-centralized scanning, reducing bottlenecks and helping companies to utilize their scanning hardware to its maximum capacity
  • ScanDox can be implemented as a stand-alone imaging and routing application or as a module of IDS VLibrary, IDS Transcription Services or ClaimDox. In addition, it can interface with a variety of third-party applications to create a completely customized document administration solution for any industry
